Accounts Receivable Customer Fields on the personalization screen:

Customer Edit - Personalize the Account

To get to the second screen, the screen that allows you to further personalize the account, press Ctrl/W at the Edit prompt or enter an edit letter that is on the second screen.

Most of the entries on this personalization screen are Yes or No entries. You choice is indicated by entering the letter Y or N.

Description

Special Pricing

Enter Y if you want the System to check for special pricing such as different pricing for certain product groups and/or discounts. If N is entered the System does not check for discounts, effectively turning any defined discounts off.

The actual pricing schedule is set up in menu selection: System: Product Line Discounts.

Product Line History

Enter Y to track sales history by product line for the customer. This will track dollars only, not itemized part numbers. Enter N if you don't want to track it.

Parts History

Enter Y to turn on tracking for all part numbers sold to the customer. Please assure you have ample hard disk space as each item sold is stored to the hard disk.

Needs PO Number

If you customer needs a PO number on all invoices enter Y and the System will not allow a sale to be completed with a blank PO number field, otherwise enter N.

Print Statements

Enter N if you don't want a statement printed for the customer --unless the N is placed here the customer will be included in the statement run.

Default Handling

Enter Y to automatically make an entry as each invoice is started. The entry used will be miscellaneous charge code MDH. It must exist for the charge to be made. If you do not want the charge to be entered each time an invoice is started enter N.

Ask for Name

If Y is entered here the System will prompt for a name entry when an invoice is started. The name then entered will be for the current invoice.

Examples of use are Employee Accounts where the account is in a Company Name but you want to enter the employees name at the time a sale is made

Charge Interest

By default Accounts Receivable will charge interest (late charge)on all amounts owing 30 days and over.

If you want it different for a customer:
N =don't charge interest,
6 = charge on amounts 60 days and over,
9 = charge on amounts 90 days and over.
Y and 3 mean charge on amounts 30 days and over (same as when field is blank)

Credit on Hold

Enter Y if you want to put Credit on Hold for the purpose of invoicing. A password will be required at the time a sale is attempted to override the Credit on Hold status.

Cash Customer

Enter Y to have the System ask for payment whenever an invoice is completed.

It is suggested that a Y is entered for any customer that pays at the time of sale.

Open Item

If you want to record and pay all receivables by invoice set this field to Y.

By default the 'Balance Forward' system of accounting is used. The current statement starts with the 'balance forward' of the previous month, adds/subtracts current activity and calculates anew amount owing.

Current activity is printed on the statement in detail.

Payments for a balance forward account are applied 'to the account'.

Payments to an open item account are applied to each invoice individually.

Accounts Receivable allows you to choose the best method for each customer -- you make the choice -- balance forward or open item, by customer.

PM Price Category and Discount

Selling parts using the Parts Invoicing task. By default, that is to say if the field is blank, selling price 1 will be charged and no discount given.

Coding the field 1, 2, 3 or 4 means that parts will be sold at that respective selling price.

To give the customer a discount, enter the percentage in the discount field after the price category.

You may also code a customer at Cost PLUS. Use 0 (zero) as Price Category and the percentage to charge PLUS. Example: Code 0 and15 in the discount field means -- cost PLUS 15% at time of sale.

Lbr. Rate Category

By default shop rate 0 (zero) will be used. If you have more than one shop rate set up in the 'Company Setup' section you can code the customer accordingly.

You can also set up a percentage discount.

CAUTION: The System will not check to see if a rate code entered is actually valid. -- If you have not set up a code, don't use it here.

Sales & Payments

Fields are continually updated by the Invoicing and/or Work-order process. Amounts are available for Last Month, Month to Date, Year to Date, Last year and a Year Prior to that.

These fields are accessible so that you may enter past information if you so desire.
